Privacy Policy
What Lead Pancakes collects on this website and in the CodeLaw Booking Orchestrator, why, who receives it, and the choices you have.
Who we are
Lead Pancakes is a local agency that runs the website, Google Ads and tech of service businesses on Vancouver Island. Lead Pancakes is run by CodeLaw ("we"). This policy covers the website leadpancakes.com and the CodeLaw Booking Orchestrator, the tool our staff use for the agency's clients. Questions and requests go to info@leadpancakes.com.
What this website collects and why
- Booking a call: when you book a call, the booking calendar (Calendly) collects your name, email address, phone number, the time you chose and your answers. We use them to call you and to prepare for the conversation.
- How you found us: a random lead ID, the Google ad click ID (gclid, wbraid or gbraid), the campaign tags (UTM parameters) of the address you arrived at, and the page and offer you saw. When your privacy choice allows it, they are kept in your browser for 90 days; they are sent with a booking, so we know which ads bring clients.
- Visit measurement: Datadog Real User Monitoring records how the site works for you: pages, clicks, load times, errors, browser and device type, approximate location from your IP address, and a replay of the visit with anything you type masked. It runs only when your privacy choice allows measurement.
- Google tag: this site does not load the Google Ads tag at the moment. If it does, it will run with Google Consent Mode, and this policy will change first.
- Your privacy choice: whether you accepted or refused measurement, when, and which version of this policy you saw. It is kept in your browser and sent with a booking, so our ad reports respect it.
- Messages and calls: what you send us by email or phone, to answer you.
We do not sell personal information and do not use it for anything other than the purposes described here.
The CodeLaw Booking Orchestrator
The CodeLaw Booking Orchestrator is used only by Lead Pancakes staff, for the agency's clients, on the clients' own Google Ads accounts linked to our manager account 182-588-6119. It is not sold, licensed or offered to anyone else, and clients do not use it themselves: they get the results and reports.
When a customer books a service on a client's website, the tool:
- records the booking in the client's customer records (CRM, in Notion), together with the ad that brought the customer: the Google click ID, the campaign (UTM) parameters and the landing page;
- uploads the booking as a conversion to the client's own Google Ads account, and later the amount the customer paid for the job, both under one Order ID, so Google Ads counts each job once;
- sends the customer's email address or phone number to Google Ads only as a SHA-256 hash, and only when the consent the customer gave on the client's website allows it;
- reads the advertising reports of the client's Google Ads account, to prepare the client's monthly page of numbers.
The data it handles: the booking details the customer enters (name, email address, phone number, the service, the date and time), the advertising identifiers above, the customer's consent choice with its time and the version of the client's privacy policy, and the job outcome the client records (paid or cancelled, and the amount paid).
For a client, we process the booking data of the client's customers on the client's behalf and only for these purposes. The client remains responsible for its own customers and its own privacy policy. Bookings made on this website go through the same tool to our own customer records and our own Google Ads account.
Google user data
The CodeLaw Booking Orchestrator uses the Google Ads API to upload conversions to, and read reports from, the Google Ads accounts of the agency's clients and of Lead Pancakes itself, all linked to our manager account 182-588-6119. Data received from Google APIs is used only for that: it is not sold, not used to target or serve other advertising, not used to develop or train generalized AI or machine-learning models, and not read by people other than the Lead Pancakes staff working on that account, except for security or where the law requires it.
Lead Pancakes's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Services that receive data
We use these services to run the website, the tool and the agency. Each receives only what it needs for its job.
- Vercel: hosts this website and its server functions; it processes your IP address and request details, and tells the site your approximate region so the right privacy rule applies.
- Google Fonts (Google): serves the fonts of this site; it receives your IP address and browser details.
- Calendly: the booking calendar and form; it receives your booking details.
- Resend: sends the booking confirmation and notification emails.
- Slack: notifies our team of a new booking, with its details.
- Notion: customer records (CRM): our own leads, and the records of each client, written by the CodeLaw Booking Orchestrator.
- Supabase: the database of the CodeLaw Booking Orchestrator.
- Google Ads (Google): conversion uploads and reports, as described above, for each client's own account and for ours.
- Datadog: visit measurement and error tracking on this site, only when your privacy choice allows it.
- Google Workspace (Google): our email, when you write to us.
Several of these services store data outside Canada, mainly in the United States, where it is subject to local law.
How long we keep it
- In your browser: your privacy choice until you clear your browser storage or this policy changes; how you found us, 90 days.
- Advertising identifiers are only useful for 90 days after the ad click. Datadog keeps visit data for about 30 days; Google keeps ad data under its own rules.
- Booking and customer records: as long as the business needs them for the customer relationship, and as long as tax and accounting rules require.
Your choices
Use the Privacy choices button at the bottom of every page to accept or refuse measurement at any time. Booking a call works either way.
- Visitors in Quebec, the European Economic Area, the United Kingdom and Switzerland: nothing is stored and measurement is off until you choose Accept.
- Everywhere else, including the rest of Canada: measurement is on, a notice tells you so, and Reject turns it off.
Your choice is saved in your browser with its date and the version of this policy. You are asked again when this policy gets a new version; a refusal keeps applying until you choose again. Customers of our clients can refuse advertising data on the client's website (its "Privacy choices" link).
Your rights
You can ask what personal information we hold about you, ask us to correct it, withdraw your consent, or ask us to delete it where we are not required to keep it. Write to info@leadpancakes.com; we answer within 30 days.
If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the privacy regulator where you live.
Changes to this policy
When what we do changes, this policy changes with it: its version and date below change, and the site asks for your choice again.
Version 27abd4c883, effective October 13, 2026.
